Administrative Specialist, Accounting (QuickBooks & Accounts Receivable) – Harrisburg, PA

Pay: $18 – $25/hour Depending on Experience
Job Type: Full-Time

Abel Personnel is actively recruiting for an experienced Administrative Specialist with Accounting Support experience for a well-established organization in the Harrisburg, PA area.

This is an excellent opportunity for an organized, detail-oriented professional with experience in:

  • Accounts Receivable
  • QuickBooks
  • Invoicing & Billing
  • Administrative Support
  • Customer Service
  • Data Entry & Reporting

We are seeking someone who can balance accounting support responsibilities with day-to-day office administration in a fast-paced, team-oriented environment.

Responsibilities

Accounting & Financial Support

  • Process invoices, bills, payments, and financial documentation
  • Manage accounts receivable and collections activities
  • Prepare customer invoices and payment documentation
  • Follow up regarding outstanding balances and resolve discrepancies
  • Conduct payout audits and maintain accurate financial records
  • Assist with sales tax reporting and bookkeeping support
  • Utilize QuickBooks and accounting software for financial tracking

Administrative Support

  • Maintain organized filing systems and business records
  • Perform accurate data entry and documentation review
  • Coordinate schedules, appointments, and calendars
  • Prepare reports, spreadsheets, and office correspondence
  • Answer phones and provide professional customer support
  • Monitor shared email inboxes and respond to inquiries
  • Support front desk operations and general office tasks

Customer & Operational Coordination

  • Communicate with customers regarding invoices and transactions
  • Coordinate schedules and operational logistics
  • Generate reports and provide status updates
  • Assist with shipping coordination and customer inquiries

Qualifications

  • Previous accounting administrative support or bookkeeping experience required
  • QuickBooks or similar accounting software experience required
  • Strong Microsoft Office skills, especially Excel, Outlook, and Word
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and accuracy
  • Professional communication and customer service skills
  • Ability to prioritize work and meet deadlines
  • Associate’s or Bachelor’s degree preferred
  • Ability to lift up to 30 lbs. as needed
