Primary Responsibility
The Senior Administrative Assistant will provide high-level administrative support to the Office of the President under the direction of the Presidents Executive Assistant/Director of Administration. The highest level of professionalism and confidentiality is required for this position.
Key Responsibilities:
- Provide high-level executive support and coordinate administrative operations for the Office of the President, including calendar management, prioritization of requests, and ensuring the efficient flow of information and daily operations.
- Coordinate, manage, and attend executive-level meetings and events, including scheduling, logistics coordination, preparation and distribution of materials, attendance management, documentation of outcomes, and follow-through on action items to ensure timely completion.
- Draft and prepare correspondence, communications, and materials on behalf of the Presidents Office, ensuring accuracy, professionalism, confidentiality, and alignment with organizational standards.
- Develop and maintain organized records, filing systems, tracking processes, and documentation related to officer activities, chapter engagement, statewide events, attendance requests, and other executive office initiatives.
Qualifications
- Bachelor's degree preferred; equivalent combination of education and relevant experience will be considered.
- Minimum of two years of administrative support experience, preferably supporting senior leadership, executives, or organizational officers.
- Demonstrated experience coordinating and managing complex calendars, meetings, events, and travel arrangements.
- Exceptional organizational, planning, and time-management skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent written, verbal, and interpersonal communication skills, including the ability to prepare professional correspondence and communicate effectively on behalf of executive leadership.
- Strong customer service, relationship-building, and collaboration skills, with the ability to work effectively with diverse constituencies.
- Experience developing and maintaining organized records, filing systems, tracking processes, and documentation.
- Ability to anticipate executive needs, proactively identify solutions, and approach challenges with a problem-solving mindset.
Requirements:
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and OneDrive.
- Proficiency with virtual meeting platforms, including Zoom and Microsoft Teams.
- Availability to occasionally work irregular hours to attend events and meet deadlines, including evenings and weekends.
- Ability to work full-time in person at UUP headquarters in Latham, New York.
