Job Description:
The Standish Library Business and Operations Manager provides oversight of the day-to-day financial and administrative operations of the Library. This position manages all state-aided and allocated budget funds and coordinates procurement, contract and hiring processes. This person also serves as a liaison with campus partners and external entities and it is actively involved in facilities planning and projects. The Business and Operations Manager plays a critical role in ensuring efficient operations that support the library's teaching, research, and service mission.
Main Responsibilities:
- Assist with forecasting, preparation, monitoring, and reconciliation of library budgets.
- Maintain accurate records of library revenues and expenditures and identify opportunities for operational efficiencies.
- Prepare routine financial reports and analyses for Library leadership and other stakeholders.
- Coordinate the operational aspects of contracts for library products, services and subscriptions.
- Utilize institutional systems such as Banner, Unimarket, Ex Libris Alma, and other platforms to process budget and procurement transactions.
- Provide guidance to library faculty and staff regarding purchasing, procurement, contracting, and budget-related procedures.
- Coordinate position requisitions, recruitment activities, candidate interviews and onboarding activities.
- Develop and maintain standardized onboarding and orientation materials for library employees.
- Monitor and assist with timekeeping, payroll issues, leave reports and related processes.
- Serve as a liaison with Human Resources and Academic Affairs regarding employment-related matters.
- Prepare materials, reports, and other documentation for library committees, shared governance bodies, and program reviews.
- Assist with data collection related to assessment, accreditation, and state and federal reporting requirements.
- Oversee day-to-day facility operations within the library building.
- Manage relationships with building partners and coordinate communication regarding shared spaces, projects, renovations, and operational matters.
- Coordinate library emergency preparedness and response activities.
- Participate as a member of the Library leadership team in assessing library spaces and planning improvements that support students, employees, and community members.
Requirements:
Required Qualifications:
- Bachelor's degree
- Minimum two years of professional experience as a financial or business administrator or in a related role.
- Experience processing financial transactions and maintaining financial records or data.
- Proficiency with Microsoft Excel & Word or Google suite
- Demonstrated ability to learn and effectively utilize software systems and databases.
- Experience efficiently coordinating multiple tasks and processes within established timeframes.
- Superior organizational skills, attention to detail, and ability to manage confidential information appropriately.
- Ability to work independently with minimal supervision and exercise sound judgment.
- Experience collaborating with colleagues and departments across the organization.
Preferred Qualifications
- Master's degree in business or accounting.
- Experience supporting business operations within an academic or public library environment.
- Experience using a library ILS such as Alma, Horizon, WorldShare, or similar platforms.
Additional Information:
Annual Salary: $64,360
