Executive Assistant - Marketing

Job Description

We are searching for a proactive, adaptable and highly-organized Executive Assistant with strong attention to detail to support the Company’s marketing and engagement efforts.

Responsibilities Include:

  • Assist in preparing communications for distribution
  • Assist with keeping marketing collateral current and polished
  • Ensure compliance with internal brand and business standards
  • Help ensure the company is consistently represented in a professional way
  • Maintain organized digital and physical filing systems
  • Monitor and track progress of various marketing initiatives through execution
  • Assist with preparing formal proposals for potential clients
  • Coordinate and schedule jobsite and training photography
  • Communicate, schedule and coordinate events with various vendors
  • Track and process monthly invoices
  • Assist with client outreach to obtain approvals for marketing materials such as brochures, newsletters, presentations, and press releases
  • Collaborate with HR to prepare for career fairs and school visits
  • Communicate project updates and escalate relevant timing issues
  • Assist to coordinate company events and community service initiatives
  • Assist in managing company store and branded inventory
  • Provide general administrative support and assist with additional tasks as needed

 

Must Haves:

  • Strong organizational skills and attention to detail
  • Strong computer skills (Microsoft Office, Adobe, etc.)
  • Strong multitasking skills with a proven ability to manage multiple projects, deadlines, and priorities simultaneously
  • Comfortable working in a fast-paced, deadline-driven environment
  • Prior experience with event coordination
  • Excellent verbal communication and writing skills
  • Comfortable in an office environment with occasional job site visits or industry event attendance
