Job Title: Project Manager & Office Administrator
Location: New York, NY (in-person)
Hours: Full-time, evenings and weekends required as needed
About the Role:
We are seeking a highly capable, proactive, and solutions-oriented Project Manager & Office Administrator to lead ongoing and special projects while also providing comprehensive administrative support for a multi-hyphenate Grammy-winning artist, speaker, and humanitarian. This role requires strong critical thinking, proficiency with spreadsheet databases, technical fluency, strong writing abilities, and professional communication skills.
The ideal candidate will be proactive, detail-oriented, and deeply engaged — someone who thrives working closely with team members while also conducting independent projects.
Responsibilities:
Project Management
• Lead ongoing and special projects, individually or with team members
• Conduct research and use critical thinking to develop and improve office processes
• Create concise and informative summaries to report research findings and project progress
• Maintain and update internal databases
• Utilize spreadsheets at an advanced level for tracking, reporting, and analysis
• Quickly learn and implement new systems and digital tools
• Provide heavy support in event, rehearsal, and performance planning, logistics, and vendor communications
• Draft, edit, and finalize short-form and long-form copy for a wide variety of purposes including social media posts, interviews, biographies, and more
Office Administration
• Write and send a high volume of professional correspondence and personal communications
• Coordinate appointments, meetings, and transportation with precision, updating shared Google calendars with detailed information
• Handle sensitive and confidential information with discretion
• Provide support to colleagues by anticipating needs and providing solutions
• Ensure the smooth operation of the office by monitoring and ordering supplies, instituting and maintaining overall organization, and addressing technical issues with equipment
Requirements
• Bachelor's degree
• 3+ years of experience in an administrative or executive support role
• A proactive and critical thinker
• A strong command of Microsoft Office or Google Workspace and demonstrated proficiency with spreadsheet databases
• Technically savvy with the ability to adapt quickly to new tools and platforms
• Excellent written and verbal communication skills
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple priorities with sound judgment
• Professional communication skills with the ability to complete sensitive and high-volume correspondence
• Experience with AI tools that maximize efficiency across all job responsibilities
• Ability to read music and familiarity with ProTools is preferred but not required
