Job Overview
A professional organization in Mechanicsburg, PA is seeking a Staff Associate to provide administrative and operational support to professional staff. This position plays an important role in supporting daily office operations by coordinating schedules, organizing meetings, maintaining records, and assisting with member and staff inquiries.
The ideal candidate is highly organized, detail-oriented, and able to manage multiple administrative tasks in a professional office environment.
Key Responsibilities
- Provide administrative and clerical support to professional staff and office operations
- Answer phone calls, respond to emails, and assist with member and staff inquiries
- Schedule and coordinate meetings, appointments, hearings, conferences, and training sessions
- Maintain electronic and physical records, databases, and office files
- Prepare meeting materials including agendas, reports, binders, and presentations
- Draft and proofread letters, reports, emails, and other documents
- Assist with preparation of legal or arbitration-related documentation when required
- Coordinate meeting logistics, registration, and event materials
- Process invoices and assist with office expense tracking
- Manage incoming and outgoing mail and coordinate office communications
- Arrange travel accommodations including hotels and transportation
- Maintain office supplies and coordinate equipment maintenance or vendor services
Qualifications
- High school diploma or equivalent required
- Minimum 3 years of administrative or clerical experience
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Excellent communication and organizational skills
- Ability to manage multiple tasks and prioritize responsibilities
- Strong attention to detail and ability to maintain confidential information
Preferred Experience
- Administrative support in a professional, legal, education, or nonprofit environment
