Marmaras & Smith is a private wealth management firm serving high-net-worth individuals and multi-generational families. As we continue to grow, we are seeking a highly capable Executive Assistant to serve as a strategic partner and client-facing liaison to one of our Co-Founding Principals.
This is a high-trust, high-impact role embedded directly in client relationships and firm operations. The ideal candidate operates with ownership, precision, and professionalism.
The Role
The Executive Assistant serves as the Managing Partner’s operational right hand and client-meeting partner. You will attend client meetings, ensure accurate documentation and follow-through, and help drive seamless execution across client service and internal initiatives.
Key Responsibilities
Client Meeting & Documentation
- Attend client meetings and capture comprehensive notes (Zocks AI or similar)
- Finalize and maintain accurate records in Redtail CRM
- Prepare review materials, performance reports, and tracking documents
- Ensure timely execution of all follow-up items
Calendar & Coordination
- Manage the Partner’s professional calendar and scheduling logistics
- Align priorities with firm initiatives and client needs
Client Experience & Operations
- Serve as a responsive, polished client liaison
- Maintain CRM integrity and workflow consistency
- Identify process improvements to enhance efficiency and scalability
- Support firm growth initiatives and special projects
Compliance
- Adhere to regulatory and firm standards
- Maintain strict confidentiality of client information
Qualifications
- 5+ years of professional experience (financial services preferred)
- Experience supporting an executive in a client-driven environment
- Exceptional written communication and attention to detail
- Proficiency with CRM systems (Redtail) and technology tools
- Strong organizational and prioritization skills
- Professional presence and high level of discretion
