Job Description Commercial construction company is seeking an area administrative assistant to work at our Golden, CO. office. Qualified applicants will have a minimum of 2 years administrative experience. Bilingual (Spanish) required. Be proficient in Outlook, Excel, Word and have great communication skills. Job duties include but are not limited to: Reception: Answer and route incoming calls, greet visitors, sort and distribute incoming mail/packages, prepare outgoing mail/packages and distribute facsimiles received. Update and maintain local voicemail system. Office Services Support: Maintain and fill all office machines, including leased equipment, in the office. Clean coffee machine and area surrounding areas on a daily basis. Maintain postage and fax machine (i.e. toner, maintenance/repairs, adding postage, etc...) Coordinate/schedule meetings, appointments, conference calls, etc., as necessary. Coordinate conference room scheduling. Coordinate catering for office meetings. Monitor inventory of essential office supplies weekly. Identify reorder needs, place order, ensure incoming deliveries are accurate, and restock. Upon verification of receipt, submit packing slips for office supplies to Office Services Administrator in Anaheim. Order and maintain company letterhead and business cards utilizing corporate resources. Liaison for janitorial services, office machine repair, and building repairs and maintenance. General Administrative Support: Back up Project Administrator on EWA calculations, budget entry and progressing when needed. Distribute job cost weekly. Coordinate travel arrangements for all area office personnel as outlined in policy. Reconcile American Express card expenses monthly. Attach receipts and code credit card expenses. Batch timecards by project, then employee number. Verify that all EWA numbers that have been referenced on the timecards are attached to the related batch for payroll. Receive, sort, and batch payroll checks for distribution. Collects new hire and rehire packets from the field. Ensures they are accurate and complete with dispatches before forwarding to payroll. Obtain and review all packing slips. Verify that the packing slip has the signature of a KHS&S representative and an invoice or P.O. number on it. Highlight these items on the packing slip and forward it appropriately. If no invoice number or purchase order number is listed, contact the responsible project manager and/or vendor to obtain it. Write the number on the packing slip and forward it appropriately. Manage drawing log for all drawings received, tag and distribute. Payroll Support: Collects new hire and rehire packets from the field. Ensures they are accurate and complete with dispatches before forwarding to payroll. Collect timecards from field employees, check for completion and accuracy and forward to payroll for processing. Receive, sort, and batch payroll checks for distribution.
