JOB DESCRIPTION: Payroll & Benefits Specialist POSITION SUMMARY Member of the Corporate Administration team that will ensure accurate processing and recording of company’s payroll, provide timely and accurate financial information, perform data entry Payroll processing, and assist with benefits administration.  This is position can be flexible as a part or full-time position depending on the alignment of firm needs with the selected candidate’s ability to fulfill the requirements of the position.    POSITION RESPONSIBILITIES Perform monthly payroll processing Maintain accurate records of payroll data for all employees. Compile the payroll data to be submitted to Paycor (third party vendor) for payroll processing. Continually update and review employee personal data and adjust employee deductions and tax elections upon request or as necessary. Process employee specific transactions such as bonuses or stock grant vesting/forfeitures. Ensure appropriate records are maintained supporting employees’ benefit elections and health saving accounts. Process deposits to employee deferred compensation accounts and health savings accounts. Ensure adherence to IRS regulations. Assist with unemployment or workers compensation audits. Ensure multi-state taxes are appropriately allocated for individuals that reside outside Ohio but meet requirements to withhold Ohio and local tax. Assure tax processing, payments and filings are complete. Assist with 401k administration.   Maintain and process employee shareholder transactions Compile employee stock grant agreements in line with offer letters or other supporting materials. Maintain accurate accounting records of all employee stock transactions including stock issuances, vesting and forfeitures. Prepare and communicate instructions to Corporate Transfer Agent regarding various employee shareholder transactions. Prepare annual employee stock ownership statements. Perform dividend processing procedures and coordinate communications with the Corporate Transfer Agent as necessary. Benefits Administration Coordinate annual benefit enrollment process for employees in multiple benefit plans and ensure information is appropriately reflected in payroll. Collect and process payroll and health insurance paperwork. Assist with COBRA administration. Address ad-hoc inquiries from employees regarding benefit coverage. Respond to ad-hoc requests for employment verification from outside parties. Monthly benefit analysis and invoice processing of multiple benefit plans. Track and follow up with employee health insurance premium discounts for physicals. Review of ACA and EEOC filings. Assist in Form 5500 filing. Facilitate firm-wide time off tracking. QUALIFICATIONS 3 – 5 years of payroll processing experience. Experience with Paycor online payroll services is a plus.
