Job Description

Job Summary: Provide support for all purchasing for the Research and Exploratory Development Department. Duties: 1. Purchasing – Work with program teams, technical staff, and business operations to gather necessary information to generate direct and indirect procurement and subcontract requisitions using the APL business systems. Review Letters of Justification (LOJ), Statements of Work (SOW), vendor quotes and other necessary documentation for required information. (50%) 2. Credit Card Purchasing – Using the APL credit card guidelines, coordinate and procure supplies, materials, or services via credit card purchases. Initiate and prepare administrative forms required in order to obtain materials and services for the department. Document purchase records, perform receiving function on orders, and reconcile credit card invoices on monthly statements. Maintain spreadsheet logs and procedures. (30%) 3. Coordinate with financial managers as needed to ensure accurate financial details. Track requisitions through the system and report status to Department staff, as well as interface with Laboratory purchasing staff to expedite requests. Assist requestors in their use of the requisition system. Maintain documentation on the Procurement Share Point Site. Required Qualifications: Associates degree in a business related field or equivalent experience. Ability to work in a fast paced/high volume environment. Demonstrated ability to work on complex and multiple tasks independently with little supervision. Must have attention to detail. The ability to prioritize tasks, adjust quickly to changing priorities and the ability to accommodate time critical tasking. Capable of demonstrating independent judgment, interacting and communicating effectively with program and line managers and external vendors. Customer service orientation; must possess good interpersonal skills, written and verbal communication skills, and strong work ethic. Proficient in the MS Office Suite (Excel, Outlook, Word). Ability to be flexible and anticipate administrative needs. Must be conscientious, accurate, and capable of exercising good judgment and initiative in carrying out work assignments. Desired Qualifications: Knowledge of APL policies and procedures, specifically as it pertains to purchasing and timekeeping. Experience with APL Business Systems Special Working Conditions: Occasional extended hours or travel as needed. Security: TS/SCI Clearance is preferred, but not required. Applicant selected may be subjected to a government security clearance investigation.
